A PDF is the easiest way to share a Microsoft Project schedule with someone who has no project software. Here is how to make one without Microsoft Project.

Quick answer
Open the .mpp in MPP Studio and choose File › Print (⌘P). On a Mac, tick “Fit schedule on one page” and choose Save as PDF. On an iPad, choose Print on One Page… and save the PDF to Files.

On a Mac
- Open the .mpp file in MPP Studio.
- Choose File › Print (⌘P).
- Tick Fit schedule on one page for a one-sheet programme, or leave it off to print across several pages.
- Open the PDF menu at the bottom of the print dialog and choose Save as PDF.
On an iPad
- Open the .mpp in MPP Studio.
- Choose Print…, or Print on One Page… to fit the whole schedule onto one sheet.
- In the print preview, tap the share button and choose Save to Files, or send the PDF straight from Mail or Messages.
Tips for a readable programme
- Collapse what you don’t need. The PDF shows the outline as it is on screen, so collapse summary tasks to print a phase-level overview.
- Hide sensitive columns, such as costs, before you print.
- A3 for the wall. Choose A3 paper in the print dialog and tick Fit schedule on one page.
- Keep the critical path visible. Red bars print red, so readers see what drives the finish date.
- Print weekly. With the plan locked and progress recorded, each week’s PDF shows the baseline against actual progress.
Why not an online converter?
Online .mpp-to-PDF converters upload your schedule to their servers. Programmes often contain client names, costs and dates. MPP Studio makes the PDF on your own device.
